At Kalpavruksha Bala Vidya Bhavan, we understand that starting preschool is a big step—for both children and parents. As a new school committed to joyful learning and meaningful partnerships, we’ve designed a simple, transparent admission process to ensure a smooth beginning for every family.

  1. Expression of Interest

We invite interested parents to reach out via phone, email, or in person. Our team will be happy to walk you through our unique learning approach and answer any questions you may have.

  • School tours and interactive orientation sessions will be scheduled regularly.
  • The school prospectus and handbook will be shared to help you make an informed decision.
  1. Application Form & Document Submission

Parents may collect the Admission Form from the school office. Kindly submit the completed form along with the following documents:

  • Child’s Birth Certificate (self-attested copy)
  • Recent photographs of the child and parents (2 each)
  • Address Proof (Aadhaar card, rental agreement, etc.)
  • Medical Record or Declaration, including any known allergies or health conditions
  • Vaccination Record

All information shared is treated with sensitivity and confidentiality.

  1. Parent Orientation & Child Interaction

Since we believe every child is unique, we hold a short, informal interaction with the parents to understand:

  • The child’s routine, likes, and sensitivities
  • Any support the family may need during the transition
  • The parents’ expectations and priorities

This is not an interview or assessment, but a gentle introduction to co-parenting your child’s early learning journey.

  1. Admission Confirmation

Based on the availability of seats and successful completion of documentation, selected applicants will receive an Admission Confirmation Letter along with details regarding the term fees and session start date.

  • The first term fee must be paid within the specified timeline to confirm and secure the child’s admission.
  • We recommend using digital payment methods for ease, transparency, and timely receipt generation.
  1. Welcome & Onboarding

Once admission is confirmed, families will receive:

  • A Welcome Kit containing school essentials, learning materials, and a parent handbook
  • Access to the Parent App (Edsmart), where you’ll find daily updates, calendar, notices, and learning snapshots
  • A starter set of books and notebooks aligned with our academic plan

Our teachers will also share a brief settling-in plan, which may include shorter school hours during the initial days to help children adjust comfortably.

At Kalpavruksha Bala Vidya Bhavan, we prioritize the safety, comfort, and uninterrupted learning of our children. To maintain a secure and focused environment, unannounced visits during school hours are not permitted. However, parents are welcome to visit the school for scheduled meetings, events, and observation days. We encourage open communication and are happy to arrange appointments with teachers or the administration as needed. Your cooperation helps us create a calm and consistent atmosphere for our young learners.

Birthday Celebrations at School – A Healthy and Meaningful Approach

At our school, we believe in nurturing not just bright minds, but also kind hearts and healthy bodies. Birthdays are beautiful milestones in a child’s life and offer an opportunity to celebrate life, express gratitude, and share joy with others. To uphold our core values of health, happiness, and harmony, we encourage celebrations that are simple, inclusive, and mindful.

Guidelines for Birthday Celebrations:

  • Healthy Treats Only: In keeping with our commitment to student well-being, children are not permitted to distribute chocolates, sweets, cakes, soft drinks, or packaged food items. Instead, parents may send healthy alternatives such as:
  • Dry fruits (raisins, dates, figs, almonds, walnuts, etc.)
  • Chikki (jaggery with peanuts or Bengal gram)
  • Cut fresh fruits
  • A Moment of Gratitude: We encourage families to use birthdays as a time for reflection and connection—spending quality time with parents, grandparents, or elders who hold a special place in the child’s life. Expressing gratitude for their presence instills emotional intelligence and compassion in young minds.

 

  • The Gift of Growth – Seed to Plant Initiative: As part of our effort to connect children with nature and cultivate a sense of responsibility and care for the environment, every child will plant a seed on their birthday. This personal act of planting, nurturing, and watching a plant grow symbolizes growth, life, and continuity. It’s our way of helping children understand that even small actions can lead to lasting change.

 

  • No Candles, Only Light: In place of traditional candles, we encourage symbolic celebrations where birthdays are “lit” with happiness rather than blown out. Wax from candles can mix with food and poses health concerns. More importantly, we want children to associate birthdays with brightness, warmth, and light.

 

  • Simplicity and Inclusion: The school will not distribute invitation cards, nor do we allow the distribution of gifts, party favours, or food in bulk. This ensures that celebrations remain inclusive and centered on values rather than material expressions.

Through these thoughtful practices, we aim to instill values of simplicity, empathy, and sustainability. Birthdays, when celebrated in this meaningful way, become more than a party—they become a celebration of life, learning, and love.

We encourage parents to extend the joy of learning at home through simple, everyday activities that reflect our play-based and activity-oriented approach. Engaging children in storytelling, hands-on tasks, nature walks, or creative play helps reinforce concepts introduced at school. We believe that clear, respectful, and timely communication between parents and educators plays a vital role in the holistic development of every child. To maintain an organized and effective flow of communication, the following channels and processes are in place:

  1. Edsmart School App & Scheduled Parent-Teacher Meetings: All general updates, notices, announcements, and regular communications will be shared via the Edsmart school app. Parents are also encouraged to attend scheduled Parent-Teacher Meetings as per the academic calendar to discuss their child’s progress.
  2. Appointment-Based Meetings with Teachers: If a parent wishes to meet a class teacher, they must first reach out to the Parent Coordinator with the reason for the meeting. Based on the teacher’s availability and the nature of the concern, an appointment will be scheduled within 2 working days.
  3. Urgent or Sensitive Concerns: In case of urgent matters—especially those related to a child’s health, safety, or well-being—or if a parent wishes to provide critical feedback or recommendations, an adhoc meeting may be arranged. Such meetings will be prioritized and coordinated with the concerned authority or educator based on the urgency of the situation.
  4. Teacher-Initiated Meetings for Additional Support: At times, educators may initiate meetings with parents of students who require additional support—academically, socially, or emotionally. These meetings will be scheduled proactively and in consultation with the parent.

We value open dialogue and aim to foster a warm and collaborative partnership with all families in our care. Together, we can ensure a nurturing and supportive learning environment for our young learners

We conduct bi-annual health check-ups in collaboration with pediatric professionals, covering key health parameters such as vision, dental hygiene, growth metrics, and general physical well-being. These assessments allow for early identification of concerns and ensure that each child receives the care and attention they need to thrive.

Our staff is also trained in basic first aid, hygiene practices, and daily health monitoring, creating a secure and responsive space where children feel safe, confident, and cared for.

At Kalpavruksha Bala Vidya Bhavan, we follow a Continuous and Comprehensive Assessment approach, focusing on the holistic development of each child. Our aim is to ensure that children enjoy learning today while building the confidence, curiosity, and skills they need for the future.

Assessments are seamlessly integrated into daily classroom activities and include:

  • Worksheets: Age-appropriate tasks that reinforce concepts in a fun and engaging way.
